Privacy Policy

Your account. Your name, email address, business name and password. Passwords are stored only in hashed form by our sign-in provider, so we can't read them.

What you put into EscBooks. This includes your clients and their contact details, projects, time entries, rates, estimates, invoices, payments you record, retainers, expenses and receipt images, equipment, subscriptions, vendors and contractors, your logo and branding, and the business and bank details you choose to print on invoices. If you record contractors, that can include their tax ID numbers. Only add information you have the right to share.

Billing. When you subscribe, Stripe collects and stores your card details. We never see or store your full card number. From Stripe we receive your plan status, renewal dates, and your card's brand and last four digits, so we can show them in Settings.

Your clients' activity. When you send a document, your client gets a private link to view it. We note when an invoice is first opened, so you can see it's been seen.

Technical information. Like most websites, our servers receive your IP address, browser type and the pages you request. This is kept in short-lived logs that we use for security, to prevent abuse, and to fix problems.

Your browser. We use your browser's storage to keep you signed in and to remember preferences on your device, like light or dark mode and your timer. We don't use advertising or tracking cookies.

• To provide EscBooks: storing your data, showing it to you, and making PDFs and reports.
• To send the invoices, estimates, reminders and statements you ask us to send.
• To run your subscription: starting your trial, billing, and receipts.
• To send account emails, such as password resets, billing notices and important changes to the Service.
• To answer you when you contact us for support.
• To keep EscBooks secure, prevent fraud and abuse, and fix bugs.
• To meet legal, tax and accounting obligations.

We don't sell your personal information. We don't share it for targeted advertising, and we don't use your business data to market to you or your clients.

When you add information about your clients or contractors, we hold and process it on your behalf, only to provide EscBooks to you. You decide what goes in and who it's sent to. If one of your clients asks us about their information, we'll direct them to you, and we'll help you respond.

We share information only with the companies that help us run EscBooks, and only as much as they need to do their part:

• Cloudflare: hosting, network security, and turning documents into PDFs.
• Supabase: our database, sign-in, and file storage for receipts and logos.
• Stripe: subscription payments.
• Resend: delivering the emails EscBooks sends for you and to you.

We also share information:

• With the people you send things to. When you send an invoice or estimate, your client sees what's on it.
• With services you connect. If you allow an outside service, such as an AI assistant, to work with your account, it can access what you approved. You can disconnect it at any time.
• When the law requires it. We share information if needed to comply with a valid legal request, or to protect the rights, safety or property of our users, the public or us.
• If the business changes hands. If Matagorda Studio LLC or EscBooks is merged or sold, your information may transfer as part of that deal. This policy keeps applying to it.

We keep your data while your account is open. If you cancel your plan, we keep your account and data as you left them, so you can come back and pick up where you were. If you'd rather we delete everything, email support@escbooks.com and we'll delete your account and data within 30 days. Copies in our backups are overwritten on a rolling schedule after that.

We may keep a limited amount of information longer when we're required to, such as billing records for tax purposes, or to resolve disputes and prevent abuse.

We protect your information with encryption in transit, access controls that keep every account's data separate, and private storage for files like receipts. Card details are handled entirely by Stripe. No system is perfectly secure, but if a breach affects your personal information, we'll notify you as the law requires.

• You can see and correct most of your information yourself in the app, and download reports and documents at any time.
• You can ask us for a copy of your personal information, or ask us to correct or delete it.
• You can unsubscribe from any non-essential emails we send. Account and billing emails are part of the Service.

Depending on where you live, including Texas and other U.S. states, you may have more rights under privacy law. Wherever you live, email support@escbooks.com to make a request. We'll verify that it's you and respond within 45 days. If we turn down your request, you can appeal by replying to our answer. We won't treat you differently for using your rights.

EscBooks is a tool for businesses and isn't meant for anyone under 18. We don't knowingly collect information from children.

EscBooks is run from the United States. Your information is processed in the United States and wherever our service providers operate. If you use EscBooks from outside the U.S., you understand your information will be transferred there.

If we make significant changes to this policy, we'll let you know by email or in the app before they take effect. The date at the top shows when it was last updated.
